Who we are
RD Music Service Limited is a live acoustic music booking agency registered in England and Wales (Company No. 17125447), with its registered office at 11 Brydson Crescent, Crewe CW2 8GG. We operate the booking platform at rdmusicservice.com. We are the data controller for the personal data described in this notice.
What data we collect
From venues and their representatives: venue name and address, contact name and role, email address, telephone number, venue capacity, booking history, and payment and invoice records.
From artists: name and stage name, email address, telephone number, home town and travel preferences, repertoire and style information, performance video links or files, public liability insurance details and certificates, availability, booking and reliability records, invoices, and bank details where provided for payment.
From everyone: account credentials (we never see your password), the date, version and IP address recorded when you accept our terms, email delivery records, and technical information necessary to operate the platform securely.
How we use your data
To manage your account; to arrange, confirm and administer bookings; to match artists to venue requirements; to take payment from venues and pay artists; to issue invoices and meet our tax and accounting obligations; to verify that artists hold valid public liability insurance; to maintain reliability records; to communicate with you about your account and your bookings; and to resolve disputes.
Legal basis
We rely on performance of a contract for the processing needed to run your account and deliver bookings. We rely on our legitimate interests in operating, securing and improving the platform, in vetting artists, and in preventing fraud and misuse. We rely on legal obligation for VAT, accounting and other statutory record keeping. Where we ever ask for consent, for example for optional marketing, we will ask separately and you may withdraw it at any time.
Who we share your data with
Where a booking is arranged, we share the allocated artist's name and contact details with the venue, and the venue's address and contact details with the artist. This is necessary to deliver the performance.
We also share personal data with service providers who process it on our behalf: our payment processor, our hosting and database provider, our email delivery provider, and our accountants and professional advisers. Each is bound by contract to process data only on our instructions. We may disclose data where required by law, by a regulator, or to establish or defend legal claims. We do not sell your personal data.
Transfers outside the UK
Some of our service providers process data outside the United Kingdom. Where that happens, we rely on UK adequacy regulations or on the UK International Data Transfer Addendum to the European Commission's standard contractual clauses, so that your data receives an equivalent standard of protection.
How long we keep your data
We keep account data for as long as your account is active. After closure we keep it for up to six years, which reflects the period we are required to retain VAT and accounting records and the limitation period for contractual claims. Insurance certificates and reliability records are kept for the same period. Marketing preferences and suppression records are kept for as long as needed to honour them.
Your rights
You have the right to be informed about how we use your data, and to request access to it. You may ask us to correct inaccurate data, to erase data, to restrict how we use it, or to provide it in a portable format. You may object to processing carried out on the basis of our legitimate interests, and you may withdraw consent where we have relied on it. Some of these rights are qualified and may not apply where we are required to keep records by law.

Complaints
If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority, at ico.org.uk/make-a-complaint or on 0303 123 1113.

We may update this notice from time to time. The version number and date at the top of this page will change when we do. Where a change is significant we will tell you by email or through the portal.
